What is EduFlowly?

EduFlowly is a cloud-based School ERP (Enterprise Resource Planning) platform built for Indian schools. It helps manage students, staff, attendance, fees, exams, admissions, and parent communication — all from one central dashboard.

Is this platform suitable for all types of schools?

Yes. Whether you run a small primary school, a large CBSE/ICSE/state-board school, or a multi-branch institution, our platform scales to your needs. We support both single-branch and multi-branch school management out of the box.

Is the platform cloud-based?

Yes, it is fully cloud-based. There is nothing to install. You and your staff can log in from any browser on any device — desktop, tablet, or mobile — at any time from anywhere.

Do you offer a free trial?

Yes. You can sign up and explore the platform during your trial period with no credit card required. Visit the Get Started page to begin your free trial today.

What languages does the platform support?

The platform currently supports English throughout the interface. Regional language support is on our roadmap and will be released in upcoming versions.

Pricing & Plans

How is pricing structured?

We offer annual subscription plans based on school size and required features. Pricing is transparent with no surprises — visit our Pricing page to compare all available plans.

Are there any hidden charges?

No hidden charges. The subscription price includes all features listed in your chosen plan. Online fee collection through Razorpay carries standard payment gateway charges (typically 2–3%) which are charged by Razorpay directly, not by us.

Is GST included in the subscription price?

All displayed prices are exclusive of GST. 18% GST is applicable as per Indian tax law and will be added at checkout. A proper GST invoice is generated for every payment you make.

Can I upgrade or downgrade my plan?

Yes. You can upgrade to a higher plan at any time and the change takes effect immediately. Downgrades are applied at the next renewal cycle. Contact our support team to initiate a plan change.

What happens when my subscription expires?

You will receive renewal reminders 30, 15, and 7 days before expiry. After expiry, access to the school dashboard is suspended but your data is retained for 30 days. Renewing within this window restores full access immediately.

Do you offer discounts for NGO or government schools?

Yes, we offer special pricing for NGO-run schools, government-aided institutions, and tribal schools. Please contact us with your organisation details and we will provide a customised quote.

Is there a coupon or referral discount?

Yes. We periodically offer coupon codes for discounts on subscriptions. You can apply a coupon code during checkout on the payment page. Follow our social media pages for announcements about active offers.

Onboarding & Setup

How do I get started?

Click "Get started" on our website, choose a subscription plan, fill in your school details, and complete payment. Your school account is activated instantly. The entire process takes less than 10 minutes.

How long does initial setup take?

Basic setup — creating an academic session, classes, and sections — takes 15–30 minutes. Full onboarding including importing students and configuring fee structures typically takes 1–2 days depending on your school size.

Can I import existing student data?

Yes. We support bulk student import via Excel/CSV files. Download our sample template from the dashboard, fill it in with your existing student data, and upload it. The system validates each row and imports students in bulk.

Do you provide onboarding support?

Yes. All new subscribers receive dedicated onboarding assistance. Our support team will guide you through initial setup, data migration, and staff training over email and video calls at no extra cost.

Can I manage multiple academic sessions?

Yes. You can create multiple academic sessions (e.g., 2024–25, 2025–26) and switch between them. Only one session is marked "active" at a time for day-to-day operations, while historical data remains accessible.

Students & Admissions

How do I add a new student?

Go to Students → Add Student in your school dashboard. Fill in the required fields — name, date of birth, class, section, guardian details — and submit. You can also use the bulk import feature for multiple students.

Does the platform support online admission forms?

Yes. You can enable a public online admission form for your school. Parents can submit applications from your school's public profile page, attach required documents, and track their application status in real time.

Can parents track admission application status online?

Yes. Once an admission application is submitted, the parent receives a unique tracking token. They can use this token on your school's admission tracking page to check status updates at any time without logging in.

How does student promotion to the next class work?

At the end of an academic year, use the Promotion module to promote students in bulk. You can select which students pass, which repeat, and which are transferring out — and generate academic history records automatically.

Can I generate student ID cards?

Yes. The platform supports custom student ID card generation including the school logo, student photo, class, section, and admission number. Cards can be generated individually or in bulk and downloaded as printable PDFs.

Does the platform support RTE (Right to Education) tracking?

Yes. We have a dedicated RTE module to help schools track RTE-reserved seats, tag students as RTE beneficiaries, manage APAAR IDs and PEN numbers, and generate compliance reports for government submission.

Fees & Payments

How do I set up fee structures?

Go to Fees → Fee Structures. Create a fee structure with components (tuition, transport, library, etc.), assign it to classes or branches, and the system will automatically generate dues for enrolled students at the start of each billing period.

Can parents pay fees online?

Yes. Schools can enable online fee collection via Razorpay. Parents receive payment links and can pay by UPI, net banking, or debit/credit card. Receipts are automatically generated and sent to parents after each successful payment.

Are GST-compliant fee receipts generated automatically?

Yes. Every fee payment generates a GST-compliant digital receipt including the school's details, student information, fee component breakup, payment method, receipt number, and timestamp. Receipts can be downloaded as PDFs.

Can I offer fee discounts or scholarships?

Yes. The Discount module allows you to create named discounts (merit scholarships, sibling concessions, RTE waivers, etc.) and apply them to individual students. Discounts reduce the outstanding due balance automatically.

How do I track fee defaulters?

The Finance dashboard shows outstanding dues, a defaulter list, and collection summaries. You can filter by class, section, or date range. Automated reminder notifications can also be sent to parents with pending dues.

Can I collect fees in instalments?

Yes. You can configure collection periods (monthly, quarterly, half-yearly, or annual) when creating fee structures. Students will have dues generated per period, and parents can pay each instalment separately.

Attendance

How does student attendance work?

Teachers mark attendance class-by-class from their dashboard or any mobile browser. Attendance can be marked as Present, Absent, or Late. School administrators see real-time attendance reports for all classes.

Can parents be notified when their child is absent?

Yes. The system can send automated notifications to parents when their child is marked absent. Notifications appear in the parent portal and can be configured by the school administrator.

Is staff and teacher attendance tracked separately?

Yes. There is a dedicated Teacher Attendance module separate from student attendance. Admins can mark and view staff attendance records, and this data integrates with the payroll module for accurate salary calculations.

Can I view monthly or annual attendance reports?

Yes. The Reports module provides detailed attendance reports filtered by student, class, section, or date range. All attendance reports can be exported as PDF or Excel files.

Exams & Results

How do I create and manage exams?

Go to Exams → Create Exam. Define the exam type (unit test, half-yearly, annual, etc.), assign subjects and classes, set maximum marks per subject, and enter student marks after the exam is complete. The system calculates totals and grades automatically.

Can I generate report cards automatically?

Yes. Once marks are entered, the system generates PDF report cards based on your configured grade system. Report cards include subject-wise marks, grades, overall percentage, attendance summary, and teacher/principal remarks.

How is the grading system configured?

Administrators can configure a custom grade system (A1/A2/B1 style, or Division/Distinction, etc.) with percentage ranges and grade point values. Each school can maintain its own grading scheme independently.

Can teachers enter marks from their portal?

Yes. Teachers can log in to their dedicated Teacher Portal and enter marks for the subjects they are assigned to teach. They can only access their own classes and subjects, not other teachers' data.

Staff & Teachers

How do I add teaching and non-teaching staff?

Go to Staff → Add Staff Member. Enter their details including role (teacher, accountant, librarian, etc.), qualification, joining date, and salary information. You can also create a system login for them so they can access their dedicated portal.

Can teachers have their own login?

Yes. You can create user accounts for teachers. Teachers get access to a dedicated Teacher Portal where they can view their timetable, mark attendance, enter exam marks, communicate with parents, and download their payslips.

Is payroll and salary management supported?

Yes. The Payroll module supports configurable salary components (basic pay, HRA, DA, PF deduction, professional tax, etc.), salary revision history, monthly salary slips, staff loans, and loan repayment tracking.

How does timetable management work?

Administrators can build a weekly timetable for each class by assigning subjects and teachers to specific time slots. Teachers can view their own timetable from their portal, and the class timetable is visible to students and parents.

Parent Portal

What can parents do in the parent portal?

Parents can view their children's attendance records, fee dues and payment history, exam results, school announcements, upcoming events, and communicate directly with teachers via the in-built messaging feature. They can also pay fees online.

How do parents get access to the portal?

When a guardian is added and linked to a student in the system, the school can create login credentials for them. Parents can then log in with their email and password to access their child's information.

Can one parent account be linked to multiple children?

Yes. A single parent or guardian account can be linked to multiple siblings within the same school. All their children's information — attendance, fees, results — appears under one login account.

Security & Data

How is our school data secured?

Your data is stored on secure cloud servers with encryption in transit (HTTPS/TLS) and at rest. Each school's data is strictly isolated — no school can access another's data. We follow OWASP security best practices in all our code.

Are automated data backups taken?

Yes. Automated daily backups are taken of all school data. In the event of any data loss incident, we can restore from the most recent backup. Critical financial and student data is backed up with high redundancy.

Who can access our school's data?

Only authorised users with valid login credentials can access your school's data. Role-based access control (RBAC) ensures that each user type (admin, teacher, parent) can only see the data they are permitted to view.

Can we export or download our data?

Yes. You can export most data — student records, fee reports, staff information — as Excel or PDF at any time from the dashboard. If you choose to discontinue, you can request a full data export before your account is closed.

Technical

What devices and browsers are supported?

The platform works on all modern browsers — Chrome, Firefox, Edge, and Safari — on desktops, laptops, tablets, and mobile phones. No app installation is required; everything runs entirely in the browser.

Is there a dedicated mobile app?

The platform is fully responsive and works smoothly on mobile browsers. A dedicated native app for Android and iOS is on our roadmap and will be announced when it is ready for release.

Does the platform support multi-branch schools?

Yes. Multi-branch support is built in. You can manage multiple school branches under one account with branch-specific students, staff, classes, fees, and reports — while having a consolidated view at the school level.

What happens if there is a technical issue?

Contact our support team via the in-app chat, email, or WhatsApp. We aim to respond within 4 business hours for standard issues and within 1 hour for critical system outages affecting school operations.
